Worker Segments

Create easy to manage groups of workers based on flexible criteria.

Overview

As more workers join your company, it may become harder to track and manage all of their onboarding flows. Fountain makes this easier with segments: pre-defined groups of workers.

Segments can be set up based on any criteria, such as specific attributes, job roles, or locations. Segments can be easily assigned to onboarding flows or compliance groups to tailor tasks based on your worker populations.

There are two ways to create a new segment of workers:

Worker Table (on the fly)

When viewing the list of workers in your company on the Worker table, if you apply any filter criteria, then you are able to save that criteria as a segment.

To do so:

  1. Click Worker Profiles in the left side panel.
  2. Click the Filters button in the top right of the Worker profiles table.
  3. In the Filters panel, use the three dropdowns to set your filter criteria. Select a field (such as Location Groups, Employment Status, or Start Date), choose an operator, and select a value.
  4. Click Apply to view filtered results.
  5. Once filter criteria have been applied, click Save as Segment.
  6. In the Save as New Segment modal, enter a Segment Name (required) and an optional Segment Description.
  7. Click Save.

Create a New Segment From Scratch

The Segments settings page allows you to create a new segment from scratch, as well as view and manage your existing segments. To access it, click your company logo in the bottom left corner, click Settings, and then click Segments under the Workers section.

Automatically Created Segments

Take note of the segments on this page: the app automatically creates segments based on your locations & jobs, and even has one for All Workers.

Click Add Segment to create a new segment from scratch.

Here, you can specify a name for the segment, choose filter conditions such as location or job, and optionally add a description.

Name

This is what will show when searching for segments to include in things like onboarding flows & compliance groups.

Description

This field is completely optional, and will only be seen internally by your co-workers if they view the details for this segment. It will not be displayed to your workers.

Conditions:

These are the pieces of information that are used to determine which workers are included in this segment. This can be built out using one or more of these options:

'OR' & 'AND' logic examples: For example, if you want to create a segment for all delivery drivers in Milwaukee, you would fill out the job condition first, and then click Add to use AND logic for your second condition, based on location.

Another example would be if you want all workers who work in Milwaukee or in Madison, WI. To do so, you'd fill out the first Location condition, then click Add condition group to add an OR logic between conditions.

Date-based logic: Below the options to add 'OR' and 'AND' logic in the segment editor is an option to add date-based logic, which adds and removes workers from the segment as an event occurs:

Click + Add a relative date condition to open the setup window, which allows you to select an event that you want to base the segment criteria on:

By default, there are three event options:

Below these configuration fields, the segment editor will dynamically update each time a condition is added or removed to show you the number of workers who will be in this segment (and their names):

Once everything has been configured correctly, click Create to create this segment.

Review & Edit Segments

Once a segment has been created, you can take the following actions on it:

Manage

What this does: Allows you to enable/disable certain setup features for a segment. Currently, the only feature available is to include or exclude deactivated workers.

View Workers

What this does: shows a list of each worker who is part of this segment

Edit

What this does: Allows you to make changes to the name, description, and/or filter conditions in the segment.

View Compliance Requirements

What this does: Displays all Compliance requirements associated with a segment, including published, unpublished, and archived requirements.

Delete

What this does: Permanently deletes a segment

View Segments in Worker Profile

A worker's segment assignments can be viewed directly on their Worker Profile:

  1. Click Worker Profiles in the left side panel.
  2. Click on the worker's name to open their Worker Profile
  3. View the Segments section in the left panel below the worker's attributes

The Segments section displays all segments this worker is currently assigned to. Click Recalculate Segments to refresh the segment assignments based on current criteria.
